Privacy Policy

This policy explains what information we collect when you use our website and our billing, production, stock, purchase, planning and accounting service, how we use it, and the choices you have. It is written for business owners who run kitchens, workshops and outlets, and for the customers who buy from them.

1.Who this covers

This policy covers two groups of people:

  • Account holders and their staff: business owners, production heads, counter staff and accountants who use the service.
  • End customers of our account holders: people whose phone number or name is recorded at an outlet counter, for example for loyalty points or a booked order.

For end customer data, the business that runs the outlet decides why the data is collected. We process it on that business's behalf.

2.Information we collect

  • Signup and sales enquiries: name, email, business name, city, what you make, number of factories and outlets, and current software.
  • Business data you enter: items, recipes and bills of materials, prices, stock, batches and expiry dates, transfers, purchase orders, suppliers, bills, expenses and accounting entries.
  • End customer data: phone number, name and purchase history, where the outlet records it for loyalty, orders or invoices.
  • Usage data: device type, browser, log-in times and error logs, used to keep the service running and secure.

3.How we use information

  • To create your account and send your login details.
  • To run the service: billing, stock, production plans, purchase, accounts and GST data.
  • To prepare AI planning suggestions for your business, using only your own business data together with general calendar and weather information.
  • To give support, fix problems and improve the service.
  • To reply to sales enquiries you send us.

4.Customer loyalty data and consent

Loyalty phone numbers must be collected with the customer's consent. The counter screen asks staff to confirm consent before a number is saved. Customers can ask the outlet to remove their number at any time, and the outlet can delete it from the system.

5.AI planning

The AI Make-or-Sell Planner uses your outlets' sales, stock, recipes and calendar to suggest what to make, send and buy. Suggestions are shown with reasons and are never acted on without approval by a person in your business. Your data is used to plan for your business only and is not used to plan for other businesses.

6.We never sell data

We do not sell, rent or trade your business data or your customers' data. We do not share it with advertisers.

7.Service providers

We use carefully chosen providers for hosting, email delivery, payment collection and support tools. They process data only to provide those services to us and are bound to protect it.

8.Security

Data is encrypted in transit and at rest. Access inside your account is controlled by roles, so counter staff, production staff and accountants see only what their role allows. Offline bills stored on counter devices are synced and then kept in your account.

9.Retention and export

We keep your data while your account is active. Accounting and GST records may need to be kept for the period required by law. You can export your items, stock, bills and accounting data at any time. After an account is closed, data is deleted after a notice period, except where the law requires us to keep it.

10.Your choices

You can view, correct or delete the information in your account, ask for a copy of your data, or close your account. To make a request, write to us through the Connect with sales page.

11.Changes to this policy

If we make a material change to this policy, we will tell account holders by email or inside the service before the change takes effect.
